2 REALLY POWERFUL new features coming soon

GPS Insight is about to launch two new highly powerful capabilities:

  • Hierarchy-based vehicle permissions
  • Custom Filters for Attribute and Category data

They may not sound like much, but for very large deployments, they’re CRITICAL to help avoid nightmarish administration tasks.

Here’s how they’ll work:

First, you need a hierarchy (or 3, as shown in this example — one for geographic location, one for type of vehicle, and one for type of fuel):

Let’s say we want a new user (in this case, called “ar-atl”) to have access to Georgia (GA), Nevada (NV), as shown in green above, plus ALL THEIR CHILDREN.

We can assign ONLY these 2 nodes to that user, and specify how “far down” the tree we want to grant permission (e.g. maybe down to the city such as Reno, NV (REN), but NOT beyond that to the West Reno, East Reno, etc. levels, if they existed).

We can do that like this, as well as add all “Function: Delivery” and “Type of Fuel: Green” to this user.  This way they’ll get ALL the members of Delivery and Green (e.g. CNG, Electric, Hybrid, Volt, etc.), as shown below.  We can add multiple nodes to a user per hierarchy, such as BOTH GA and NV for the US (Geographic) hierarchy:

Hovering over the user now shows you the permissions assigned to that user:

This allows us to provide Hierarchy capabilities to ALL users — not just administrators, as it has previously been available.  PLEASE BEAR IN MIND that the hierarchy is available ONLY to large accounts (e.g. > 100 vehicles) as it is generally unnecessary for small fleets, since they can use vehicle groups to do the same thing.  If you are a large fleet customer of ours, and are not currently using the hierarchy, you can contact Sales or Support to ask for it to be turned on for  your account.  It is a HUGE time-saver in many ways, and you can click here for more information on the Hierarchy capabilities of GPS Insight.

Now onto Custom Filters for Attribute and Category data:

Initially they will be available on 2D mapping, shown here, by pressing the “Attributes and Categories” button (and I’ve already restricted the vehicles by choosing a Group when launching the map (All Vehicles) and choosing ONLY vehicles with the letter “e” in them, using the “Filter List:” box:

This opens up a screen which allows you to create a highly specific filter, based on any category and attribute data you may have specified for your vehicles.

Here, I’ll create a very loose filter which requires ANY (vs. ALL) of the 3 conditions to be met:

Since “Alena” has one of the “Compressor, Generator, Jackhammer & Winch” which are specified in the 2nd criteria, the vehicle shows up on the map:

If I change the filter to ALL (and some other changes), we get only the single vehicle which meets those criteria:

This will really help ALL our customers to better utilize and benefit from this functionality by filtering maps, and soon reports, dashlets, and alerts with HIGHLY custom data which they can assign to vehicles.  Filters will also eventually apply to OTHER areas of GPS Insight where categories and attributes are assigned — for instance running a report on only landmarks in the “Customers” group of landmarks which have a “to be serviced by” date in the next 7 days.  Or sending idle alerts for vehicles which don’t have the “ignore idle” attribute set to “yes.”

There’s no practical limit to how complicated you can make these filters — there is the ability to “nest” them within each other so you can say things like:

“Only show vehicles which are corporate unless they are both personal and have a winch, but exclude all of those whose registration expired before today.

Both custom filters and hierarchy based permissions will be available to all customers by the end of August, and as always, we will continue to add functionality as it is required by our customers.

Have it your way! — Add data you want to GPS Insight now!

We just released our newest feature — CUSTOMER SPECIFIC CUSTOM CATEGORIES AND ATTRIBUTES.

This is a big deal.

Here’s how it works (silly example — but you’ll get the concept & can adapt to your needs):

Say your company is an ice cream delivery company and you need to know what type of ice cream each truck carries.

Launch Custom Categories and Attributes here:

Then click on “Create new Attribute” (you can choose to treat it like a category, which is a set of pre-populated values, in the next screen):

Then make some changes in the highlighted fields and create your category (this is for Ice Cream Type).

Do the same to create your Attribute (Freezer Capacity in Gallons):

Then click on one of the available green “checkmarks” to assign values to your vehicles.  Note that Custom Categories and Attributes can be assigned to Users, Vehicles, Drivers, Landmarks, and Hierarchy Nodes:

Now you can assign your pre-determined Category values by clicking on each vehicles’ list of options and choosing one.  Soon, you will be able to use a new interface to choose multiple options, and we will allow for spreadsheet import assignment of custom values to vehicles & other GPS Insight Object types.

And now, you can click on the “Custom” tab within GPS Insight’s 2D mapping to see the custom categories/attributes and the vehicle’s values.  This is helpful when referencing business specific information on a particular truck, and can be customized to keep track of ANYTHING you want.

We also show this data in free-form format within 3D mapping when choosing a vehicle:

And you can re-use that category in order to assign it to landmarks (or anything) — let’s say our distribution centers need to ALSO be labeled with a particular Ice Cream type:

And now you can click on the NEW green checkmark to start editing the values for your landmarks:

Just click, enter, and OK each landmark (this will use our new rapid edit screen soon for even quicker entry):

And now when looking at that landmark, it will show you that information informationally:

And when it’s time to “clean up” (as I need to do after using a customer for this example…) you just click on the trash can to delete the Category/Attribute and all associated data (we ask you to confirm first):

And coming soon, you’ll be able to use Categories and Attributes when filtering vehicles on a map, vehicles to appear in a report, and as parameters and filters in alerts (e.g. you’ll be able to set a “max number of minutes idling before alert” on different vehicles and alert whenever that threshold is exceeded).

This is REALLY POWERFUL STUFF and will help us to do even more custom work for our customers easily.  Between the Hierarchy capabilities and the Custom Categories and Attributes, the sky is the limit as to how granular we can get in your mapping, reporting, and alerting capabilities.

New “rapid edit” mode for tedious updates in GPS Insight

With some of our new capabilities (Categories and Attributes) coming soon, we have been making some major changes to the interface to ensure our customers (AND WE!) don’t spend too much time editing things “one at a time.”

One major internal area we needed improvement for was a set of vehicle-specific device options which our fulfillment and support staff use all the time.

They complained that whenever we need to update a large number of devices all at once (thankfully a problem for us — we’ve been selling a lot of large deployments lately), they need to edit the vehicles one at a time.

No more!  We have a new interface control which allows for quick and easy “all at once” editing — we launch it here (from our new “one click” list):

This allows us to rapidly edit ALL administrative options for vehicles:

(bear in mind the prior screen is for our internal account, which is why many “guinea pig” devices haven’t reported for a while — we don’t always clean these up right away…)

Note that the “tab vertically” option is set automatically and allows us to rapidly enter values or use the space bar to toggle options then tab to the next vehicle vertically.

And whenever you make a change, the green “checkbox” lights up to indicate that it’s been saved.  Then it fades to a light green checkbox, so you can see which values were changed overall.

That allows you to go back and ensure you changed the correct vehicles (and lets me go back and reverse my “for the blog” changes easily).

We will add this capability where appropriate.  Previously, if we wanted to edit all these vehicles, we would have to click on the pencil icon and then edit each one individually.

GPS Insight exhibits at NAFA 2012 in St. Louis

We just got back from the NAFA 2012 conference. NAFA is the National Association of Fleet Administration (also known as the “Fleet Management Association”). This was our 6th consecutive year exhibiting and it was even bigger and better than previous years.

New SMS message sending capabilities from the Dashboard

We just added the ability to select a vehicle group and send an SMS message to all those drivers from the dashboard.

Simple stuff, here are a couple screen shots:

Easy stuff — send messages to your drivers, and when they reply, you get it.

You don’t need to do anything except enter their cell # once, either by driver or by vehicle.

And they can send SMS to you at 477-477 (GPS-GPS).

New improved Fleet Tracking iPhone App coming soon

We’re putting the final touches on our new Fleet Tracking iPhone App which will be available free to all GPS Insight users.

Here are some highlights of improvements to the first version:

First choose a group (in this case we’ve chosen ALL VEHICLES) and then choose a vehicle [we'll choose "Ray" who is at a landmark named "BowlingAlley" -- landmark names can be turned off as a setting and addresses will show up instead]

Once we choose “Ray” we see the following status on a map:

The icons on the bottom let you change map mode, zoom in/out, create a landmark, or zoom to your own location using the iPhone GPS.

Clicking on the pin’s blue “>” we get more information about Ray:

From here we can “bookmark” Ray, call Ray (using his cell phone information within GPS Insight), or open his location in Google Mobile Maps on the iPhone itself [to get directions to, check street view, etc.]

You can easily click (“press”) here to open the vehicle’s location within Google Mobile Maps:

How to not forget things and get in trouble with your wife…

I was working yesterday (and today) and my wife sent me an email to pick some stuff up from the grocery store.

I knew I would forget & get home, & have to drive back, so here’s what I did:

Here’s what I sent only 2 minutes after getting the email:

This means when I get in my car, the Garmin will be beeping at me, with this message, and I won’t get home and forget.

Because I need GPS in a supermarket — I made 5 trips from aisle 1 to aisle 20 — I have no idea where anything is & am worthless in a grocery store.

How much do you travel? (or work, or go to the lake, or visit your in-laws…?)

GPS Insight makes it easy to answer quick ad-hoc questions like this. Someone asked me if I had been doing a lot of travel lately. Seems like it, but if I want to quantify it accurately, I can just run a quick geofence reoprt on the airport, where I leave my car every time I get on a plane to go somewhere.

I can just type “PHX” (the airport code) in to Google Earth and it takes me right there:

Then just draw a quick polygon geofence around it:

Then run a quick report (and I mean quick, it takes .14 seconds to create with 31 days of history for my vehicle). Note that we allow customers to go back as far as they have data with GPS Insight in order to run these types of reports. I am choosing only 31 days here just to avoid too much disclosure…

And .14 seconds later, we see I’ve spent roughly 12 days (11 days, 22 hours, 35 minutes) parked at or driving through the airport. We can even tell that my Jun 6 flight was on a different airline since I drove 5.7 miles (further West to Terminal 3 for Jet Blue to NYC than the typical Terminal 4 for US Air & Southwest) vs. the typical 1.8-2.1 miles.

How much time spent traveling

This is a nice, quick example of how people (particularly management who allow GPS tracking on their own vehicles) help to determine answers to ad-hoc questions like “how much time did you spend traveling last month” without having to consult a calendar, ticket receipts, etc.
